Executive summary
This case study documents the introduction of scan-anchored automated follow-up at an industrial valve manufacturer. Before automation, 11% of scanned exhibition cards received any follow-up within 7 days; the other 89% were lost to rep time-pressure and inbox volume. After automation, 94% of scanned cards received a personalised draft follow-up email within 1 hour, automatically queued in VynDeal for rep review and send. The follow-up automation workflow shifted rep time from drafting to reviewing, and pipeline coverage shifted from 11% to 94% as a result.

Methodology and observations
Scan-anchored draft generation used VynDeal's template engine, fed with extracted card data (name, company, designation) and exhibition context (show name, booth, conversation note). Drafts queued for rep review under a 2-hour SLA. The automated lead follow-up workflow kept personalisation by inserting conversation-specific notes the rep had logged at scan time. The drip email after card scan model produced higher response rates than templated mass-email, because the first touch was reviewed individually before send. The capture front end is the same lead capture engine documented across our exhibition conversion study.
"We did not write more emails. We reviewed more drafts. Eight times the follow-up went out, and none of it read like a robot wrote it." — Field note, Quiamo automation desk
